ScanSeries for iOS (v2.27.68) included several improvements and enhancements, and you may have already noticed some changes to the web portal user interface as well. ScanSeries for iOS v2.27.68The latest update includes several improvements, but most notable for many users may be the addition of the ScanHistory feature. This update includes: New ScanHistory feature that allows on-demand access to a device's full inspection history
Improved support for Bluetooth pairing with the SocketScan S800 and S840 scanners
Barcode standard enforcement to reject invalid formats
Improvements to the user interface for iPad Improvements to QR code scanning
Transfer/Merge process now includes automatic backup
Image handling enhancements for inspection result uploads with a large volume of photos
Numerous other improvements, enhancements and bug fixes
Web Portal UpdatesLiveArchive LiveArchive applications - when selected - now show not just the latest report, but the two most recent reports. ComplianceCenter AHJ's can now assign LiveArchive labels, but they are limited to their local buildings and can only view ScanSeries reports that have been submitted to their AHJ portal.
Password Policy Customization Service Organizations can now choose to increase their password policy to a custom level of strength more stringent than the default requirements. The new Password Policy UI can be accessed by Manager and Manager/Inspector users via the Setup page and clicking the box for "Use a custom password policy."
Slider scales and options are available to increase how aggressive the password policy will be based on the organization's own requirements.
System Types for Buildings The option to assign what System Types exist in a building has been added to all Building Add and Building Edit screens (with the current exceptions of the old Buildings UI, and BRMobile). This means that all Service Company, Facility, National Accounts, Complimentary ComplianceCenter Users (CCCU Non-Members) and AHJ organizations can now open or add a building, click on the "System Types" tab, and select what applicable System Types (one or more) are present in the building. System Types are broken down by designated by ScanSeries application (Ex: SprinklerScan), System Type (Ex: Fire Alarm System), and Interval (Ex: Annual). See example pictured below.
For CCCU orgs that submit an ADD or EDIT request to their AHJ for a building after adding System Types, they can submit the Add/Edit request and the AHJ's new building will also be assigned these System Types once accepted by the AHJ. Setup Page > "FireScan" Tab Renamed "Sensitivity Data" The tab previously called "FireScan" has been renamed "Sensitivity Data" to better reflect its purpose given both FireScan and SuppressionScan reports provide the sensitivity info here.
Inside of the Sensitivity Data interface, the wording describing the page now include both FireScan AND SuppressionScan.
Portal Selector The portal selector now allows users to sort the available list of orgs alphabetically by City, but the "home" portal will always remain at the top of the list. This specific change will be especially helpful to users who manage multiple portals across various cities.
- [New Floor Plan Feature Now Available for All DocDrive Users](https://www2.buildingreports.com/blog/2019/09/26/new-floor-plan-feature-launching-docdrive/): Service Members who subscribe to DocDrive, a web service that enables the storage and sharing of any document in any file format in the BuildingReports portal, now have access automatically enabled for the new interactive floor plan feature. Accounts with floor plans allow for the upload of building floor plan images so that inspectors can use icons to denote the physical location of a device being inspected. Icons are color-coded to indicate the status of each devices.
This provides several benefits, including:
Allow inspectors to quickly and easily find devices in the facility during future service callsSee the location and status of each device in the facility.Filter by the device type to only display certain device types (click for larger view). For users with healthcare reporting formats, users can also filter by codes in addition to devices. - [Deadline for U.S. Federal Ban on Chinese Security Cameras Approaches](https://www2.buildingreports.com/blog/2019/07/31/deadline-for-security-camera-ban/): As August 13th draws closer, U.S. federal
agencies are still attempting to comply with Congress’s ban passed last year
which takes effect on that date. Recently, two prominent security camera
manufacturers have been identified as having vulnerabilities that can allow
unauthorized parties to gain administrative access over the devices. Other manufacturers
and devices are also named in the US Department of Homeland Security's
Industrial Control Systems Cyber Emergency Response Team advisory and
subsequent legislation that effectively banned their use by Federal agencies on
that date: ICSA-17-124-01

(3) COVERED TELECOMMUNICATIONS EQUIPMENT OR SERVICES.—The term “covered telecommunications equipment or services” means any of the following:
(A) Telecommunications equipment produced by Huawei Technologies Company or ZTE Corporation (or any subsidiary or affiliate of such entities).
(B) For the purpose of public safety, security of government facilities, physical security surveillance of critical infrastructure, and other national security purposes, video surveillance and telecommunications equipment produced by Hytera Communications Corporation, Hangzhou Hikvision Digital Technology Company, or Dahua Technology Company (or any subsidiary or affiliate of such entities).
(C) Telecommunications or video surveillance services provided by such entities or using such equipment. (D) Telecommunications or video surveillance equipment or services produced or provided by an entity that the Secretary of Defense, in consultation with the Director of the National Intelligence or the Director of the Federal Bureau of Investigation, reasonably believes to be an entity owned or controlled by, or otherwise connected to, the government of a covered foreign country. Experts believe it will be very difficult for most Federal agencies to comply with the law by the dealine, but Service Members with SecurityScan may have an advantage and an opportunity to assist facility management in the replacement. Leveraging the BuildingReports inspections of these facilities, administrators can export SecurityScan data from their portal to filter out security cameras to determine the make, model and location of the devices. Service Members who provide security inspection and services can also take advantage by adding SecurityScan to their BuildingReports portfolio. Click Get Reports.
Select any tab and then the Export button in the upper right-hand corner of the screen (you’ll have the opportunity to choose SecurityScan in the next step).
On the following screen, be sure to select these settings before exporting your file: Export Information: Application = SecurityScan
Choose the radio button option for All inspections in one file. Inspection Selection: Set the date range for the export for a period of 1 year from today’s date (Example:From = 7/23/2018; To = 7/23/2019)
If you wish to only pull the last report for a building within the last year, check the Only include the latest inspection for each building checkbox. Click the Export Range button when ready. The export time will depend on the volume of data and the current demand.

All ScanSeries users on Android are strongly encouraged to install or update to this version (1.1.344) as soon as possible. BuildingReports always recommends only performing an update of ScanSeries once all live/ongoing

- [Portal Update: New Inspection Status Drop-Down Shortcut](https://www2.buildingreports.com/blog/2018/08/02/new-inspection-status-dropdown/): Upon logging into the portal users will notice a change to the list view on the Get Reports page. The Inspection Status column now features a drop down option that allows users to choose the inspections status without having to expand the report detail row by clicking the + symbol to the far left of the row. The option no longer resides within the detail section for the row, and users can save extra steps when updating the inspeciton status.
Clicking into this column will open a drop-down list with the following inspection status options to choose from: Accepted

- [ComplianceCenter: New “Help” Button & User Guides](https://www2.buildingreports.com/blog/2018/07/24/new-compliance-center-help-button-tutorials/): We are pleased to announce the availability of new feature for AHJ, BuildingReports Service Member users, and Complimentary ComplianceCenter users of the ComplianceCenter report submittal system. Depending on your user type, you will see different options when clicking the new Help button while logged into the portal.
- [Sensitivity Data Entry Made Simple](https://www2.buildingreports.com/blog/2018/02/28/sensitivity-data-entry-made-simple/): Entering data for smoke detector sensitivity so that the range will populate automatically in your report can sometimes be a challenge, especially if the detector head supplies only the range of the detector while the rating, minus and plus values (which compute to give you the range) are not provided. Since the Smoke Detector device record in our applications allows you to enter the Rating and Minus/Plus values so that a range will populate automatically, how do you address this type of scenario so that the range will populate successfully? Here are some tips that can ensure an accurate and complete Sensitivity Report:
Sensitivity Data Entry
Sensitivity Rating: This is where you place the average (mean) value that the manufacturer assigned to the detector. If not on the back of the head, see the formula below. NOTE: This is NOT the same as the Sensitivity Range. Do not enter the range in this field. Sensitivity Minus and Plus: This is the plus/minus margin that the manufacturer assigns to the detector. If this information is not provided on the back of the head, see the formula below. Sensitivity Formula
If the only information available is the range on a particular detector, use this formula to get the range and minus/plus values. (You can enter for percentages or voltage. If voltage, just be sure to place the letter V next to your sensitivity test result to indicate a voltage reading.) Example: Range = 1% to 4% Find the difference: 4% - 1% = 3% Divide the difference by two: 3% / 2 = 1.5% This gives you a plus/minus value of 1.5% Add (to the low) and subtract (from the high) that plus/minus value for the high and low range values: 1% + 1.5% = 2.5% and 4% - 1.5% = 2.5% Your official rating is 2.5%. Now, enter your rating and your minus/plus values into the respective fields and the report will populate the range for you. If the report is already uploaded, you can enter them easily into Device Editor. Again, please note that the Sensitivity Rating field is NOT for your Sensitivity Range. This is a common misconception. Remember, BuildingReports will apply the range automatically based on your data entries in those three fields. IMPORTANT NOTE: If you use these three fields, it will override any data in our system for the same make/model detector. That way, you’re always assured that your readings take precedence. If you don’t enter data in those fields and we have that make/model in our system, it will auto-populate the range based on our data. If you don’t enter data and we don’t have any data either, there will be no range at all.

The following is a quick summary of those changes. Modal Single Device Editor - the old device editor that was previously accessed by clicking a device's blue link inside of a report on has been updated with a new look.
Partnership Building Privileges - improved selective viewing of "Shared" Service Ticket reports.
ComplianceCenter - improved functionality for service companies re-submitting reports that have already been submitted; users will now get a prompt when clicking Submit to AHJ that the report in question has already been submitted. Also, the new and improved Get Reports page will be made available to all BuildingReports portal users per the email notice sent to BuildingReports email and newsletter subscribers yesterday. This change will occur Thursday, January 25th. This update has been available by request since it's launch in 2017. Service members that already requested the update will not notice any changes. - [ScanSeries for iOS Version 2.15.26 Now Available](https://www2.buildingreports.com/blog/2017/09/26/scanseries-for-ios-version-2-15-26-now-available/): The latest update to ScanSeries for iOS is now available on the Apple App store. In addition to various improvements and feature updates, the latest release contains several adjustments to counteract changes in Apple's iOS 11 operating system update. If you do not have auto-update enabled on your iOS device, you can manually install the update to take advantage of these changes: The latest iOS release contained a user interface change that caused the WebConnector download search bar to be hidden behind the header. This ScanSeries update will resolve the issue.
Linea-Pro scan tone can be set to On/Off in Settings.
Using the Volume buttons on the iOS device, tehnicians can push Volume Up for Remote Scan or Volume Down for Camera Scan.
WebConnector Schedule Search is now supported for HVACScan (in beta release).
A "Rescue Payload" option has been added to the to Support screen so users can now submit data to Member Services via any file transfer apps enabled on their device (i.e. Google Drive or Dropbox).

Whether you are enlisting the help of a service provider or doing most of the work yourself, it is important for you to know the basics of fire safety system inspection. Staying code compliant and protecting your building and occupants is a vitally important responsibility. What do you need to do to properly inspect your fire safety systems? When to Inspect Sprinklers Besides the obvious reasons for maintaining fire sprinkler systems on a tight schedule, regularly scheduled checks can save your organization money in the long run. Sticking to a clear schedule for inspections will allow you to keep your system up to date and ready for use in the case of an emergency. “There are a lot of buildings that have been neglected for years, and all of a sudden, the city comes in and says you need your sprinkler system checked,” says Joe Guerra of the Dallas-based sprinkler inspection service provider American Fire Protection Group. Those buildings that don’t keep up pay much more in the long run. Providing regular inspections and maintenance for sprinkler systems can cost roughly $1,000-5,000 a year depending on the size and needs of a building. But disregarding this important practice can come back to bite you, with some buildings needing upwards of $20,000 to overcome past inattention, explains Guerra. Inspection for fire sprinklers is an ongoing process requiring different actions over time. Some tasks will be easy for your facilities staff to do on their own. Other modes of inspection will be more involved, often requiring the use of a fire safety service provider to deliver a greater overview of the sprinkler system. FMs can take care of their sprinklers during weekly and monthly inspections, explains Guerra. Weekly inspections will involve quick checks like making sure control valves are open, the heating works properly to prevent freezing and gauges are functioning correctly. Each month, you should also check parts of the sprinkler system that are electrically supervised, as well as the basic functionality of accessible and visible components. Average Failure Rate by Device Type BuildingReports, a fire and life safety compliance reporting technology firm, has listed in its annual Fire and Life Safety Benchmarking Report a compilation of data on inspections and device failure of fire safety systems in a variety of building types. Based on the names of the inspection software they sell, the various types of devices covered in the report are grouped into five categories that address similar functionality. These equipment types are listed as the following: SafetyScan: portable fire extinguishers, lighting, personal protective and safety equipment in any facility
SprinklerScan: sprinkler systems and water-based fire protection systems
SecurityScan: burglar and security systems, access control, CCTV and nurse call stations
SuppressionScan: clean agent, gas detection and kitchen hood systems
FireScan: control equipment, auxiliary functions, monitoring equipment and notification appliances In the accompanying graph, safety equipment including fire extinguishers are most prone to failure, followed by sprinklers and water-based protection systems. - [NFPA-101 Life Safety Code & CMS Compliance for Healthcare Facilities](https://www2.buildingreports.com/blog/2017/08/22/nfpa-101-for-healthcare-facilities/): Due to the recently issued requirements by the Centers for Medicare & Medicaid Services (CMS), low-profile fire extinguishers are the only fire extinguishers which may be surface-mounted in the corridors of healthcare facilities while maintaining compliance with NFPA-101, Life Safety Code - 2012 edition. Otherwise, when surface-mounted, typical fire extinguishers that protrude more than 4-1/2” are not compliant. Download NFPA-101 Compliance Brochure Here Many facilities currently have their extinguishers installed within recessed or semi-recessed cabinets, and therefore they don’t have a compliance problem. However there are many older hospitals and facilities such as senior living, assisted living, long-term care, ambulatory care, and rehab facilities which utilize typical surface-mounted fire extinguishers. They currently have two viable options to solve their non-compliance with the Life Safety Code’s non-continuous object-projection limits. Their first option is to install new, fully-recessed or semi-recessed cabinets into their existing walls. The second option (which is also less invasive, faster, cleaner, and less expensive) is to surface-mount low-profile fire extinguishers. Read CMS’s requirements to follow the NFPA-101 2012 edition, as of July 5th, 2016. Within the 2012 edition of NFPA-101, specific to new healthcare and ambulatory care facilities, non-continuous projections located below 38” are now limited to 4-1/2”. Although objects above 38” are allowed to project up to 6” per NFPA 101, ADA requirements limit projections to 4”. This requirement overrules the Life Safety Code allowance of 6”. (See below for a link to the Federal register below which clarifies this.) Specific to existing healthcare and ambulatory care facilities, non-continuous projections located below the existing handrail height are now limited to 4-1/2”. Objects above the handrail height are allowed to project up to 6” per NFPA, however the ADA limit of 4” again overrules the Life Safety Code and applies (*See link to federal register below which clarifies this). If you would like to contribute as a guest blogger, please contact marketing@buildingreports.com. Your fire sprinkler system is a vital part of your overall life safety system. But, as with all mechanical equipment, your systems must be maintained in order to provide proper protection to your facilities and occupants. Over time, your sprinkler system’s piping can age or wear, leading to the build-up of foreign material or corrosion. A Five Year Internal Inspection can determine whether your pipes contain microbiologically influenced corrosion (MIC), rust, or slime. Obstructions like these within the piping, valves, or other devices can interfere with the system’s ability to function, in some cases rendering it inoperable, which can endanger lives in the event of a fire. Internal investigations are done at the system valve, riser, cross-main, and branch lines. If any corrosion or obstructions are found in these areas, appropriate action must be taken to ensure your fire sprinkler system is always at a peak state of readiness.
What is microbiologically influenced corrosion (MIC)?
Microbiologically influenced corrosion or MIC, is an electrochemical process involving bacteria that can accelerate previously occurring corrosion in both wet and dry-pipe fire sprinkler systems.
What causes corrosion in fire sprinkler systems?
Wet and dry fire sprinkler systems are primarily composed of metal pipe, water, and trapped or compressed air. Any environment which has oxygen, metal, and untreated water in prolonged contact with each other is subject to corrosion.
What are the warning signs that I have MIC?
Obviously leaks and obstructions would be potential indicators of MIC or other fire sprinkler system corrosion problems. However, discolored or foul smelling water along with evidence of tubercles and/or deposits on the interior of the pipe wall are also indications of corrosion activity.
Code Reference NFPA-25 (2011 edition) 14.2.1 states: “An inspection of piping and branch line conditions shall be conducted every five years by opening a flushing connection at the end of one main and by removing a sprinkler toward the end of one branch line for the purpose of investigating for the presence of foreign organic and inorganic material.” Complying with NFPA: 25 Five Year Internal Inspections can assure these components function properly in case of a fire.

- [Atlanta I-85 Fire & Overpass Collapse: Revisiting Hazardous Material Storage Requirements](https://www2.buildingreports.com/blog/2017/04/06/atlanta-i-85-fire-and-collapse/): It is estimated that over 220,000 vehicles travel daily over the stretch of interstate damaged in last week's fire, just north of midtown Atlanta, GA. As commuters struggle with the new reality in a city already plagued by traffic woes, Georgia Department of Transportation officials, investigators and fire and safety officials search for answers in the wake of the disaster. At the same time, those responsible for establishing and enforcing codes and requirements aimed at preventing these incidents look to learn and adapt in the wake of the event. A great deal of credit must be given to law enforcement officials who were able to address traffic re-routing quickly, so that by the time the overpass gave way to the intense blaze, the area had been cleared. The same must also be said for the fire crews who, despite rush hour traffic conditions, were able to contain the blaze and contain the damage. Anyone who bore witness to the jaw-dropping event as it unfolded on the national news must have been relieved, and amazed, that not a single injury or death occurred. Now, as the long, painstaking process begins of rebuilding, and residents and visitors patiently implement changes to their daily schedules and travel routes, there is another difficult and challenging task that must be undertaken. Code requirements for storing and protecting hazardous material must be re-visited. Were those requirements adhered to? Are such requirements sufficient as written? Is enforcement more at issue? If requirements were overlooked, what were they and why? What should have been implemented to avoid such massive damage to essential infrastructure? Here are just some of the requirements that will have to be reviewed as this damaging situation is scrutinized. The International Fire Code (IFC) states clearly in the latest 2015 edition of that document, Chapter 50 (Hazardous Materials-General Provisions), Section 5001.3.3.6, under the heading of “Protection of hazardous materials” the following: Safeguards shall be provided to minimize the risk of exposing hazardous materials to a fire or physical damage whereby such exposure could endanger or lead to the endangerment of people or property. Were such safeguards in place? If so, such safeguards, as the IFC mandates, should have prevented exposure of the conduit to fire which, in turn, led to a clear and present danger to people and property. The National Fire Protection Association’s Fire Code, NFPA 1, (2015 edition) concurs in how it addresses hazardous materials in Chapter 60 of that document and references, in turn, NFPA 400, the Hazardous Materials Code. According to NFPA 1, outdoor storage areas for hazardous material are allowed but need to be controlled areas that are under strict requirements. There is a maximum allowable quantity of materials mandated and if the storage area exceeds a certain square footage, the hazardous material has to be properly divided into groupings and each grouping separated from another by a specific distance requirement. Smoking is prohibited within 25 feet of controlled, outdoor storage areas and signage needs to be provided accordingly. Such outside storage locations and the area around them have to be clear of any combustible debris and such outdoor areas are required to be at least 20 feet from a street or public way. These requirements merely skim the surface of a discussion that must delve more deeply to determine if these requirements and other related regulatory standards were adhered to, if they need to be improved upon or if it all came down in this case to a lack of enforcement. Thanks again to the quick response of first responders, the fire protection industry can re-address the enforcement of hazardous material storage requirements without having to do so with loss of life in hindsight, as has too often been the case along the way to improved fire protection. If there is anything positive that can come out of this major fire incident, it’s that the discussion to follow will ensure that a similar incident with such grim potential for loss of property and life doesn’t happen again.

- [New Feature for ScanSeries Healthcare Users](https://www2.buildingreports.com/blog/2016/09/19/new-feature-for-scanseries-healthcare-users/): BuildingReports has released a new feature that will be welcomed by users of our ScanSeries Healthcare formats. When logging into your account and viewing your reports in a healthcare format, you will notice a new designation in the legend section at the beginning of the Inspection and Testing section. The legend now includes an “R” designation for Replaced devices. Therefore, when a device is replaced during an inspection, an “R” will appear for the replaced device. Additionally, located directly beside that device in the list, will be the information for the new device. If a device was deleted but not replaced, the word “Removed” will appear under the date stamp for that device in the given quarter. To assist further with documentation, the year to date (YTD) totals and the Device Total at the end of each device type section will no longer show a count of all unique barcodes in that device type section. It will only display the actual total number of devices in the building. So, for example, if you have five tampers and replaced one of them, the device total at the end of that section will no longer show six tampers but will display five instead. This update to the healthcare formats should be a significant help to our members and their healthcare clients especially at survey time. - [Louisiana State Fire Marshal Provides Guidance for Businesses Regarding Reopening After Historic Flood](https://www2.buildingreports.com/blog/2016/08/26/louisiana-state-fire-marshal-provides-guidance-for-la-businesses/): The Louisiana State Fire Marshal released guidelines and requirements for businesses who plan to reopen following the historic flooding that impacted the region recently. An estimated 6.9 trillion gallons of water fell across the impacted area in early to mid-August. The following guidelines as published earlier today are in effect through the end of November 2016: State law requires that repairs of commercial structures that affect exits, stairs, seating arrangements, fire detection and suppression systems, or other details of construction must be submitted to the State Fire Marshal’s Office for review.
For businesses that received flood damage below four (4) feet from a finished floor and where the repair and replacement of materials and components are to be accomplished without alterations, there is no requirement to submit plans for review. However, if fire-rated construction, such as walls and doors, has been affected, business owners are to call the State Fire Marshal’s Office to schedule an inspection after repairs are completed.
If electrical systems or equipment have been compromised, owners are encouraged to contact their local permitting office for an inspection before restoring electricity to the building. In areas where there may be no permitting authorities, owners should have an inspection conducted by licensed electricians.
For repairs to businesses that suffered direct flood damage above four (4) feet, or where alterations to the existing structure are proposed, owners are required to submit plans to the State Fire Marshal’s Office for review. This can be accomplished online at www.lasfm.org. Click on “OSFM-IMS” button in the introduction box.
Once received, reviewers will issue a response within 24 hours of receipt of the plans. In the event of unforeseen issues with the submittal, business owners may seek a permit from a local permitting office to begin construction at their own risk. Please note that owners will be required to correct any deficiencies a review may find.
There will be no charge for review services or inspections to flood-affected businesses. The State Fire Marshal’s Office further establishes that temporary use of an existing building where a change is proposed will be reviewed on a case-by-case basis and an inspection by the State Fire Marshal’s Office will be required to determine if the proposed use is acceptable. Owners can call the office at 1-800-256-5452 to schedule an inspection. In businesses where an existing fire detection and/or suppression system has been compromised or damaged by the flood, a contractor licensed through the Fire Marshal’s Office must inspect and/or repair the system prior to the business being allowed to open. The contractor will need to submit plans to the Fire Marshal’s Office, which can be done online as stated above, with a response expected within 24 hours of submission. However, if a response is delayed, the contractor can begin work with the owner assuming all risks. Again, any deficiency found during the review process will need to be corrected before the business opens. For portable and/or modular industrialized buildings, only those buildings provided by properly registered manufacturers and dealers that contain a state-issued decal will be considered for use. Please note that manufactured (mobile) homes or similar structures for residential use are not acceptable for commercial use. It must be noted that full compliance with the Life Safety Code and referenced standards is expected in all repairs and/or remodeling
- [OSHA Penalties Skyrocket 80% with Changes Effective August 1, 2016](https://www2.buildingreports.com/blog/2016/08/22/osha-penalties-skyrocket-80-with-changes-effective-august-1-2016/): Effective August 1st (2016), companies with more than 250 employees can expect increased scrutiny and fines under OSHA's new enforcement and penalty policies. Area directors from OSHA can offer companies with fewer than 250 employees a fine reduction of 20%. Under the new guidelines, fines for incidents increased by 80% to a maximum of $124,709 per citation. If multiple employees are involved - and the violation is deemed egregious by OSHA - the offending company can be cited for each employee at the full $124,709 per citation. The penalty for willful and/or repeat violations is now set at $12,470, and the timeframe for classifying a violation as willful or repeat was expanded by two years, from a 3-year period to 5 years. OSHA inspectors are also working under new directives, including a quota-like requirement for inspections and a points system for rating violations. Under the new scoring system the occurrence of violations rated as egregious is expected to increase. According to a recent webinar hosted by BLR given by attorney Adele Abrams, there are several things employers need to determine to be prepared for an OSHA inspection: 'Whether a warrant should be required
An employer response team;
A records release policy;
Employee interview policy;
Abatement policy; and,
Any “confidential” or “top secret” areas or processes that need to be identified.' Of course, the most critical steps companies can take to mitigate risk are regular inspections and maintaining detailed inspection reporting. Not only will it help companies identify potential issues before an incident, but thorough, detailed reports and records demonstrate due diligence and proof of compliance. By engaging with BuildingReports, companies will have detailed records to provide proof of compliance, including code references and a verifiable history of addressing discrepancies. Violations can carry significant civil and criminal penalties, with criminal penalties being even more frequent if a company is located in one of the 22 state plan states where the attorney general typically has more prosecution tools at their disposal. Sprinkler installation - 8% On March 5th, 2016, the CMS published the final rule on fire safety requirements for a range of facilities, and in doing so adopted the National Fire Protection Association’s (NFPA) 2012 edition of the Life Safety Code (LSC) as well as provisions of the NFPA’s 2012 edition of the Health Care Facilities Code. These changes include several updates and exceptions from the 2000 Life Safety Code (LSC) and the 2012 edition of the Health Care Facilities Code. The facilities impacted include: Hospitals
Intermediate care facilities for individuals with intellectual disabilities (ICF-IID)
Ambulatory surgical centers (ASCs)
Religious non-medical healthcare institutions (RNHCI)
Programs for all inclusive care for the elderly (PACE)
Inpatient hospice facilities
Critical access hospitals (CAHs)
Long term care (LTC) facilities Per the CMS, “Some of the main requirements laid out in this final rule include: Health care facilities located in buildings that are taller than 75 feet are required to install automatic sprinkler systems within 12 years after the rule’s effective date.
Health care facilities are required to have a fire watch or building evacuation if their sprinkler systems are out of service for more than ten hours.
The provisions offer LTC facilities greater flexibility in what they can place in corridors. Currently, they cannot include benches or other seating areas because of fire code requirements limiting potential barriers to firefighters. Moving forward, LTC facilities will be able to include more home-like items such as fixed seating in the corridor for resting and certain decorations in patient rooms (such as pictures and other items of home décor).
Fireplaces will be permitted in smoke compartments without a one hour fire wall rating, which makes a facility more home-like for residents.
Cooking facilities now may have an opening to the hallway corridor. This will permit residents of inpatient facilities such as nursing homes to make food for themselves or others if they choose to, and, if the patient does decide to make food, facility staff is able to provide supervision of the patient.
For ASCs, all doors to hazardous areas must be self-closing or must close automatically. Additionally, alcohol based hand rub dispensers now may be placed in corridors to allow for easier access.” There are also new requirements expanding the use of sprinkler systems in high-rise facilities, but those facilities will have a period of 12 years to install them. Preparing for fire code inspections: The outside
One of the things the fire marshal will inspect upon his/her arrival is how accessible your building is to the fire department should they need to be called out for an emergency. When preparing for fire safety inspections, you should make sure that: Your street address is clearly marked on the front of your building and is easily visible from the street.
Have a key vault to store building keys in that will allow the fire marshal and fire department to access your building if a fire begins during non-business hours.
Make sure any and every fire hydrant on your property are not blocked by landscaping or any other structure. Remember, you must maintain a three-foot clearance space on all sides of the hydrant.
The fire lanes in front of your building MUST be kept clear of any and all obstructions.
Preparing for fire code inspections: The inside
Once you’ve made sure your building is fully accessible for fire crews on the outside of the building, direct your focus on preparing the interior of your building for fire safety inspections. To keep the inside of your building up to code, you will need to: Be sure that all exit doors can easily be opened by ONE person. If the doors are locked, make certain they do not require any special training, keys or equipment to open efficiently.
Keep all aisles, walkways, stairways and paths leading to exits clear of debris and obstructions.
Be certain your emergency lights and exits signs work properly in both normal and emergency power modes.
Make sure your fire extinguishers are properly charged and easily accessible in case of an emergency.

Discrepancy Photos Added: New feature allows Image/DocDrive support for adding photos of Discrepancies to Failed devices (requires DocDrive subscription). Note: If a ScanSeries user's organization DocDrive enabled attempts to use the new feature to add a Discrepancy Photo, the application will prompt them letting them know that "They are not logged in or do not have a subscription to DocDrive for capturing images". If DocDrive has been recently enabled on an organization's account that did not have DocDrive previously, the ScanSeries user must log out and log back in (via the WebConnector cloud icon on his/her device) to add Discrepancy Photos to the building(s) already on their iOS/Android device. For Janam XM5 Users: Due to the hardware configuraiton of these PDAs, there are no dedicated cameras on-board so Discrepancy Photos are not available with these scanners. To avoid any potential confusion for users of this hardware we have hidden/disabled the Discrepancy Photo feature on the XM5. The addition of this new feature is in response to requests from our valued Service Members, and is another example of why your feedback is so valuable. The Account Manager role is a new user designation internal to BuildingReports Service Company members, and provides a third option to improve usability for organizations that provide account management services to large multi-facility customers within a given jurisdiction or region. After a little more digging I came across the Facilities Industry Trends-Survey Results conducted and published by the FMLink Group, and online magazine for Facility Managers. The study uncovered several interesting trends among facility managers and leadership: Top Priority: Dealing with aging buildings and/or building equipment.

Meeting customer / tenant expectations (30%)
